The process of building The Architect's Match

Research

Our projects begin with a comprehensive research sprint, during which we gather information about the business, your objectives, user needs, and competitive landscape. This research encompasses both the product/platform development and brand positioning to ensure a cohesive approach. First, we examine existing matching platforms to understand key functionality and user flows, while simultaneously analysing successful brands in the architecture and construction space to identify positioning opportunities. We also conduct initial kick-off research with The Architect's Match team involved in the project. This process is usually organised around detailed questionnaires or workshops, helping us understand different user personas - both architects and clients - to ensure all key aspects are considered during both the software design and brand development process.

Additionally, we use this opportunity to gain a deeper understanding of how the platform should facilitate connections between architects and clients, the matching algorithms required, and how the brand should position itself within the market. We employ various technologies to analyse user behaviour patterns and matching preferences to inform our technical architecture decisions, while conducting brand research to establish the tone, personality, and visual direction that will resonate with both user groups.

Naming & Branding

Following the research phase, we develop a comprehensive brand identity for The Architect's Match. This begins with validating and refining the platform name, ensuring it resonates with both architects and potential clients while being memorable and search-friendly. We explore variations, check domain availability, and test name recognition with target user groups.

The visual identity development includes creating a distinctive logo, selecting typography that conveys professionalism and approachability, and establishing a colour palette that works across digital and print applications. We ensure the brand feels trustworthy to clients seeking architectural services while appearing contemporary and appealing to design-conscious architects.

We develop brand guidelines that define the tone of voice, messaging framework, and visual applications. This includes how the brand communicates the value proposition of connecting clients with the right architect, the reassurance of quality matching, and the simplification of what can be a complex selection process.

The brand identity seamlessly integrates with the platform design, ensuring consistency across all touchpoints from the initial landing page through to email communications and architect profile presentations. This cohesive approach reinforces trust and professionalism throughout the user journey.

Information Architecture & Data Strategy

We take everything learned during the research phase and distil it into a clear information architecture for the matching platform. This provides a shared framework for organising user data, project information, and guiding both architects and clients through the matching process. We then break each feature down into specific data requirements and user interactions, allowing The Architect's Match team and Ether to work collaboratively on defining the matching algorithms and user experience flows.

As part of this process, we define the project form structure that clients will complete, ensuring questions capture essential project details, budget ranges, style preferences, and location requirements. These form fields directly feed into the matching algorithm to connect clients with the most suitable architects.

We also design the architect profile system, including portfolio management, specialisation categories, availability status, and geographic coverage. This ensures the platform can make intelligent matches based on comprehensive architect capabilities and client needs.

We utilise tools like Figma and Miro to map out user journeys and data flows, providing complete transparency and efficient collaboration among all involved parties.

Wireframe

Wire-framing & UX Strategy

Taking the information architecture and data strategy as the basis, we then lay out the core application screens as wire-frames. This ensures the platform meets all UX criteria required for an intuitive, efficient matching experience. The exact interface components would come from the user journey mapping and feature definition completed in the previous phase.

These wire-frames would be added to our design collaboration tool; Figma for real-time interaction that enables stakeholder feedback in context. This includes the client project form, architect dashboard, matching results interface, and communication tools for connecting matched parties.

High Fidelity Design

The next stage is to apply creative design thinking to the wireframes. Here's where we roll our sleeves up and really get to work on making the matching platform feel complete, intuitive and fitting for The Architect's Match's vision of connecting clients with the perfect architect for their project.

We create an interactive prototype that demonstrates the full user journey - from a client filling out their project requirements to receiving curated architect matches, and through to initial contact and project initiation.

The design will fundamentally ensure that The Architect's Match team have all the tools they need to manage the platform, monitor matching success rates, and continuously optimise the algorithm to improve connection quality and user satisfaction.

Platform Configuration

Near the tail end of the design process, the lead developer and designer on the project will configure the platform's admin system and matching algorithm parameters. This ensures optimal performance for our development team in managing the codebase and for The Architect's Match team in administering user accounts, monitoring matches, and updating platform settings.

Code

Development

Once the platform has been configured, our development team will begin building out the application features including user registration, project form submission, matching algorithm, architect profiles, and communication systems using clean, scalable code. We employ industry-standard tools such as Git for version control and provide an authentication-restricted staging environment so that you can securely review progress. During this stage, you will be able to access the development platform from anywhere via a simple login, enabling you to monitor progress in real time.

The application will be built with performance and scalability in mind, using modern technologies to ensure a fast, seamless experience across both mobile and desktop devices. As with all our projects, the development process will be tracked using Linear, our preferred project management tool. This gives you complete visibility of our progress and allows you to communicate directly with everyone on The Architect's Match project team at Ether.

Admin Dashboard

The Architect's Match platform includes a comprehensive admin dashboard built with modern technologies (Next.js). The dashboard offers an intuitive interface for managing users, monitoring matching success rates, reviewing architect applications, and adjusting algorithm parameters in real-time.

Prior to launch, we will provide comprehensive training for The Architect's Match team, ensuring you feel confident in managing and optimising the platform. You will leave the process with a deep understanding of the system's capabilities, enabling you to continuously improve matching quality and user experience long after launch.

Client Access

We like to give clients access early in the process, so following the initial platform setup, we'll provide access as soon as core features are ready for testing. From that point on, The Architect's Match team will be able to test user flows, review matching algorithms, and provide feedback on the evolving platform functionality.

Launch

Once the platform is built, it's time to launch The Architect's Match for public use. This stage involves a series of 'pre-flight' tasks including comprehensive testing of the matching algorithm, security audits, performance optimisation, and setting up robust hosting infrastructure (including SSL certificates and database optimisation) to handle user registrations and matching requests.

When ready to go live, the staging environment will be seamlessly transitioned to production, ensuring complete continuity of all user data, architect profiles, and system configurations.

We have a well-established pre-launch checklist that The Architect's Match team and Ether will collaborate on during the process. The Ether team will ensure all monitoring systems, analytics, and user onboarding flows are in place so that the launch is as smooth and seamless as possible.

We typically launch MVP platforms like this in an closed beta, with a select number of users invited to test the platform and provide feedback. This allows us to refine the platform before opening it up fully to the public.

Platform Overview

The Architect's Match is an intelligent matching platform designed to connect private clients and developers with accredited, design-led architectural practices. At its core, the platform eliminates decision paralysis by curating a maximum of three carefully selected architect recommendations, ensuring quality connections rather than overwhelming choice.

Our target market begins with private domestic clients seeking architectural services in London and Kent, expanding UK-wide and then internationally. The platform serves homeowners planning extensions, renovations, and new builds, alongside small-scale developers working on residential projects with budgets typically ranging from £100k to £2M+.

Phased Development Approach

The project is strategically designed to be delivered in phases, allowing for validation and refinement before full-scale development. Phase One focuses on strategy, wireframing, and design prototyping, creating a comprehensive foundation that can be tested with potential users and stakeholders.

This approach enables The Architect's Match team to validate the platform concept through user testing with architects and a closed group of clients, establishing initial product-market fit before committing to full development. Phase Two encompasses the complete build and launch, undertaken once the strategy and design have been proven effective.

Client Experience Design

The client-facing platform will feature a clean, modern aesthetic inspired by quality residential architecture. Users begin their journey with an project brief onboarding process, partnered by a conversational AI interface that guides them through complex requirements gathering, similar to ChatGPT's intuitive interaction style.

The system will progressively disclose relevant questions based on previous answers, collecting essential data including project type, location constraints, budget ranges, timeline requirements, aesthetic preferences through image uploads, and technical specifications such as passive house requirements or energy ratings.

Rather than presenting overwhelming choice, the platform will deliver a maximum of three architect recommendations in a curated report format, complete with detailed rationale explaining why each practice aligns with the client's specific needs and comprehensive profiles showcasing relevant past work.

Architect Network & Onboarding

The platform targets architectural practices up to 50 people, focusing on design-led firms where approximately 50% of revenue comes from domestic and small development work. All practices must be ARB registered at minimum, with RIBA accreditation preferred, ensuring professional standards while excluding large commercial firms that don't require lead generation.

Architect onboarding begins with automated profile creation by scraping existing websites, followed by a comprehensive questionnaire covering project specialisations, budget ranges, geographic coverage, stylistic approaches, and technical expertise. The system includes portfolio integration for project showcases and verification processes to confirm professional accreditation.

Architects access a dedicated dashboard for lead management, profile updates, and initial client communications, with premium tiers offering advanced analytics and market positioning insights.

We are considering an invite-only approach to the platform, with a select number of architects invited to join the platform to start with and receiving a number of invites that they can then distribute to their network.

Intelligent Matching Algorithm

The platform's core strength lies in its sophisticated matching algorithm that considers multiple criteria: geographic proximity, budget alignment between practice fee ranges and client budgets, specific project type expertise, stylistic compatibility, capacity and timeline alignment, and technical specialisation requirements.

Advanced features handle nuanced preferences, such as clients seeking "passive house but not at the expense of design," while presenting backup options for practices that nearly match requirements. The system continuously learns from successful connections to improve future matching accuracy.

Communication & Connection System

Initial connections are facilitated entirely through the platform rather than sharing direct contact details, creating a controlled environment for quality interactions.

Features include a unified inbox for all communications, living project briefs that evolve based on conversations, calendar integration for scheduling, and secure document sharing for initial project materials. Once initial meetings prove successful, the platform facilitates seamless handoff to direct communication.

Extended Platform Features

Phase Two development includes a contractor network accessible only to architects, operating on an invite-only basis where practices vouch for trusted builders. This addresses the common challenge of out-of-area projects and provides a streamlined tendering platform with architect-only reviews and community-driven quality control.

Additional features encompass an Instagram-style project showcase, educational content covering architectural processes and costs, industry insights, and networking tools enabling architect-to-architect resource sharing and contractor referrals. These features serve as a an SEO and content marketing play to help grow the platform and attract more users.

Technical Architecture

The platform requires a modern, scalable technical foundation including a responsive web application, robust API architecture, sophisticated database supporting complex matching algorithms, and OpenAI (or Anthropic) integration for conversational interfaces and content processing.

Authentication will be streamlined through Single Sign On (SSO) integration with Google, providing a frictionless login experience for all user types while maintaining security best practices. This reduces barriers to entry and simplifies account management for both clients and architects.

Key integrations include payment processing for subscription management (via Stripe), secure file storage, automated email communications and mapping services for geographic matching and visualisation (Google or Mapbox).

Revenue Model & Growth Strategy

The platform operates on a subscription model with three tiers: Basic (e.g. £40-60/month) covering core matching and communication tools, Professional (e.g. £100/month) adding enhanced analytics and contractor network access, and Premium (e.g. £150/month) providing comprehensive analytics, priority features, and monthly project showcases. We are also considering base pricing based on the size of the practice.

Launch strategy will begin with London and Kent for market validation, expanding UK-wide once the model is proven, then internationally. User acquisition focuses on building an initial architect consortium, creating exclusivity through invite-only launch, and establishing authority through educational content marketing.

Success metrics centre on match success rates, user satisfaction scores, subscription growth, and market penetration, with the platform's competitive advantage lying in quality curation, sophisticated AI-powered matching, and integrated communication tools that reduce friction throughout the architect selection process.

Terms

Client Service Agreement

This Service Agreement is entered into and effective as of this day of August 2025, by and between
[Client] (“Client”), having an address of [Client Address] and Ether Creative Ltd (“Company”),
having an address of Unit 4, The Old Brewery, Maidstone, Kent, ME16 0DZ.

In consideration of Client retaining Company to perform software design and build services, it is agreed as follows:

1. Scope of Software Design & Build Services

(a) Client hereby retains Company to provide Design and Software Development Services. The details of service are reflected in the above Scope of Work. The terms of the Scope of Work are incorporated into this Agreement by reference.
(b) If additional services, beyond those described in the attached scope of work, are required or desired by Client, Company will quote a fee for such services and Client shall approve such fee prior to Company performing the additional services.
(c) Up to two (2) rounds of revisions may be requested during the term of this agreement at no additional cost. Any revisions required beyond the third round, during the term of this agreement, will be performed at a rate of £90 per hour. Fees for revisions requested or required after this Agreement has terminated shall be agreed on separately in writing by the Parties.

2. Client Duties

(a) Compensation: In consideration for the services provided by Company to Client as set forth in section 1 above, Client agrees to pay Company a project fee of £34,800 + VAT.

If at any point during the project, a portion of the fee is not paid in accordance with the fee schedule in paragraph (a), Company may cease work on the project and withhold delivery of work product until the outstanding fee is paid. If a portion or portions of fees remain unpaid after 30 days of becoming due, a penalty fee of 3% of that payment amount will be assessed. Company reserves the right not to continue work or deliver work product until all outstanding penalty payments have been made. Payments shall be made via BACS.

(b) Tools to be Provided by Client: Throughout the duration of the project, Client agrees to provide all tools, information and documentation that may be required by Company to effectively perform said responsibilities in connection with the performance of services.
(c) Expenses: Client agrees to purchase necessary tools, services, and materials, such as fonts, stock photography licenses, graphics etc, and to provide them to Company in a timely manner so as not to delay Company’s work.

If travel is required, Client agrees to purchase necessary travel tickets and make other travel arrangements on behalf of Company based on an itinerary agreed upon by the Parties.

3. Term

This engagement shall commence on 29.09.2025 and shall continue through completion of the project or cancellation by either party in accordance with paragraph 4.

4. Cancellation

Client may cancel this Agreement for any reason by providing a minimum of 30 days written notice to Company. Cancellation of this Agreement by Client without cause will not extinguish Client’s obligation to pay the project fees specified in Paragraph 2(a) for work preformed or committed. In the event Client cancels this Agreement without cause, Client will also remain obligated to pay all expenses incurred by Company on Client’s behalf, in accordance with paragraph 2(c), through the last day of performance or the 30th day after notice is provided, whichever comes later.

Cancellation of this Agreement by Client for cause will extinguish Client’s obligation to pay any further fees to Company. Company may cancel this Agreement at any time for any reason by providing written notice to Client. In the event that Company cancels this Agreement, Company will provide a full refund of any fees paid minus any approved, unpaid expenses incurred on Client’s behalf.


5. No guarantees

Company cannot guarantee the outcome of web design and development services and Company’s comments about the outcome are expressions of opinion only. Company makes no guarantees other than that the services described in Paragraph 1(a) shall be provided to Client in accordance with the terms of this agreement. Client acknowledges that Company cannot guarantee any results for of web design and development services as such outcomes are based on subjective factors that cannot be controlled by Company.

6. Confidentiality

(a) Client Information: Any and all Client information and data of a confidential nature, including, but not limited to any and all design, creative, marketing, sales, operating, performance, know how, business and process information (hereinafter referred to as “Confidential Information”), shall be treated by Company in the strictest confidence and not disclosed to third parties or used by Company for any purpose other than for providing Client with the services specified hereunder without Client’s express written consent, other than to comply with law. Confidential Information shall not include any information which (a) becomes available to the public through no breach of confidentiality by Company, (b) was in Company’s possession prior to receipt from the disclosure, (c) is received by Company independently from a third party free to disclose such information, or (d) is independently developed by Company without use of the Client’s Confidential Information. Upon request, Company hereto will promptly return or destroy all documents containing Confidential Information and delete all electronic records of or containing the same.

7. Independent contractors

(a) Independent Contractor Relationship: This Agreement shall not render Company an employee, partner, agent of, or joint venturer with the Client for any purpose. Company is and will remain an independent contractor in its relationship to the Client. Company is or remains open to conducting similar tasks or activities for entities other than the Client and holds itself out to the public to be a separate business entity. Company shall retain sole and absolute discretion in the manner and means of carrying out the activities and responsibilities under this Agreement. Company shall be responsible to the ownership and management of the Client, but Company will not be required to follow or establish a regular or daily work schedule. Company will not rely solely on the equipment or offices of Client for completion of tasks and duties set forth pursuant to this Agreement. Any advice given by Client to Company, regarding services performed for the Client, shall be considered a suggestion only, not an instruction. Client retains the right to inspect, stop, or alter the work of Company to assure its conformity with this Agreement and Client needs. Company and Client agree to conform to any and all government regulations necessary to establish and demonstrate the independent contractor relationship between Client and Company.
(b) Taxes & Benefits: Company will be responsible for filing its own tax returns and to pay taxes in accordance with all provisions of applicable national and local laws. Client shall not be responsible for withholding taxes with respect to Company’s compensation. Company shall have no claim against Client for holiday pay, sick leave, retirement benefits, worker’s compensation, health or disability benefits, unemployment benefits or employee benefits of any kind.

8. Transfer of intellectual property rights

Provided Client has complied with the terms of this agreement, and upon final payment to Company for services, Company shall automatically thereby grant, transfer, assign and convey to Client, and its successors and assigns, all right, title, interest, ownership and all subsidiary rights, including all rights accruing to Company under any applicable copyright legislation, in and to all works of authorship and all copyrights, patents, trade secrets and any other intellectual property rights, business concepts, plans and ideas, reports, manuals, visual aids, documentation, inventions, processes, proposed products, services, techniques, marketing ideas, and commercial strategies, that have been or will be created by Company, for Client (“the Work”) for use throughout the world in perpetuity in any manner or media whether now known or hereafter invented. Company hereby further waives any moral rights it may have with regard to Client’s uses of the Work. Company agrees, at Client’s reasonable expense, to cooperate as may be necessary to assist Client in enforcing Client’s rights in the Work. Notwithstanding the foregoing, Client grants Company a worldwide, nonexclusive, irrevocable license to display the written or visual content developed by Company for Client only in association with Company’s portfolio and for other business development and marketing purposes.

9. Warranties

(a) Company’s warranties: Company represents, warrants and covenants that, Company has full authority to enter into this Agreement and all of the services, whether performed by Company or any of its subcontractors, will be rendered using sound, professional practices and in a competent and professional manner by knowledgeable and qualified personnel.
(b) Client’s warranties: Client represents, warrants and covenants that Client has full authority to enter into this Agreement and has or will obtain, during all times relevant hereunder, all of the necessary consents, rights, licenses, clearances, releases or other permissions to lawfully consummate the transactions and lawfully discharge, in all material respects, each and every of Client’s obligations or duties set forth hereunder, whether performance is due now or hereafter during the Term.
(c) Except for the express warranties provided throughout this Agreement, neither party makes any other warranties, expressed or implied.

10. Limitation of liability

(a) In no event shall Company have any liability to Client for any lost profits, loss of use, business interruption, costs of procurement of substitute goods or services, or for any indirect, special, incidental, multiple, exemplary, punitive, or consequential damages however caused and, whether in contract, tort or under any other theory of liability, whether or not either party has been advised of the possibility of such damage; and

(b) In no event shall Company’s liability to Client exceed the fees paid under this Agreement, whether in contract, tort or under any other theory of liability.
(c) The foregoing limitations in this section 11 shall not apply to a breach of confidentiality by a party hereunder or the obligations under paragraphs 6, 9 and 19.

11. Effect of headings

The subject headings of the paragraphs and subparagraphs of this Agreement are included for convenience only and shall not affect the construction or interpretation of any of its provisions.

12. Entire agreement; modification; waiver

This Agreement constitutes the entire agreement between the parties pertaining to the subject matter contained in it and supersedes all prior and contemporaneous agreements, representations, and understandings of the parties. No supplement, modification, or amendment of this Agreement shall be binding unless executed in writing by all the parties. No waiver of any of the provisions of this Agreement shall be deemed, or shall constitute, a waiver of any other provision, whether or not similar, nor shall any waiver constitute a continuing waiver. No waiver shall be binding unless executed in writing by the party making the waiver.

13. Neutral construction

This Agreement was prepared by Company and/or Company’s legal counsel. It is expressly understood and agreed that this Agreement shall not be construed against Company merely because it was prepared by its counsel; rather, each provision of this Agreement shall be construed in a manner which is fair to both parties.

14. Counterparts

This Agreement may be executed in one or more counterparts, each of which shall be deemed an original, but all of which together shall constitute one and the same instrument.

15. Assignment

This Agreement shall be binding on, and shall inure to the benefit of, the parties to it and their respective heirs, legal representatives, successors, and assigns; provided, however, that Client may not assign any of its rights under this Agreement, except to a wholly owned subsidiary entity of Client. No such assignment by Client to its wholly owned subsidiary shall relieve Client of any of its obligations or duties under this Agreement.

16. Notices

All notices, requests, demands, and other communications under this Agreement shall be in writing and shall be deemed to have been duly given on the date of service if served personally on the party to whom notice is to be given, or on the day after mailing if mailed to the party to whom notice is to be given, by first class mail, registered or certified, postage prepaid, and properly addressed as follows:

Any party may change its address for purposes of this paragraph by giving the other parties written notice of the new address in the manner set forth above.

17. Governing law; mediation

This Agreement shall be construed in accordance with, and governed by, the laws of the United Kingdom as applied to contracts that are executed and performed entirely in England and Wales. The parties agree to attempt to resolve any dispute, claim or controversy arising out of or relating to this Agreement by mediation. The parties further agree that their respective good faith participation in mediation is a condition precedent to pursuing any other available legal or equitable remedy, including litigation, arbitration or other dispute resolution procedures.

18. Recovery of litigation expenses

If any legal action or any arbitration or other proceeding is brought for the enforcement of this Agreement, or because of an alleged dispute, breach, default, or misrepresentation in connection with any of the provisions of this Agreement, the successful or prevailing party or parties shall be entitled to recover reasonable legal fees and other costs incurred in that action or proceeding, in addition to any other relief to which it or they may be entitled.

19. Severability

If any term, provision, covenant, or condition of this Agreement is held by an arbitrator or court of competent jurisdiction to be invalid, void, or unenforceable, the rest of the Agreement shall remain in full force and effect and shall in no way be affected, impaired, or invalidated.
